Setup

Set it up once. Then stop thinking about it.

Once it is set up, everything above runs on its own. Setting it up takes about an afternoon. There are five steps, and it is worth doing them in order, because each one builds on the one before it.

Step 01

Activate

Pick a plan and we will email you a code. Paste that code in the first time you open the app. The free version does not need a code at all.

Step 02

Name your fields

Tell the app which details to pick out, such as the invoice number, the amount or the supplier name. Show it two or three of your own documents and the AI works out the pattern for you. After that the app matches that pattern by itself, and it costs nothing to run.

Step 03

Write your emails

Write each email once, then drop in a placeholder like {{ variables }} wherever a detail should appear. The app fills them in for you. You can also set who gets copied in and attach files.

Step 04

Set rules

Set simple conditions that decide which email a document should get. For example, you can send one email when an amount is over a limit, and a different one when it is under.

Step 05

Drop files

Drag your files in, check the drafts the app has written, and send them. The tracker fills itself in and shows you who has not replied yet.

Smart extraction

It reads PDF, Word, Excel, CSV, email, web page and text files, then pulls out the details you asked for. Show it a couple of your own documents and the AI works out the pattern. From then on the app matches that pattern on its own, so it costs nothing to run and the results stay consistent.

Rule engine

Your rules decide which email a document should get. You can match on an amount, on words in the text, or on several conditions at once. Anything that does not match falls through to an email you choose.

Composition

Email builder

Write your emails in a normal editor with bold text, links and images. Click to drop in a placeholder wherever a detail should appear. You can also show or hide whole paragraphs depending on the document, and set who gets copied in.

Delivery

Email out

It can put the draft in Outlook for you to check first, or send it straight from your own email account, such as Gmail, Yahoo or iCloud. It also watches for replies and lets you know when one comes in.

Dashboard and tracker

Everything you have sent is listed in one place. You choose the columns, and the app keeps them up to date with things like how many days have passed and what is now urgent. There are charts, follow-up lists and one click actions, so the things that need you show up first.

AI analyse and draft

One click reads the document, tells you what it is about and writes a reply for you to check before it goes. It runs on Claude. You can use our AI or connect your own Anthropic account.
